Arrival & parking

Airbnb and vacation rental arrival instructions template

Adapt a vacation rental check-in instructions template with arrival time, parking and the route to the entrance. Check photos and keep access codes private.

Fictional cottage dining corner with warm wood and linen curtains

Write arrival instructions in the order guests need them: the final turn, the parking space, then the path to the door. Keep the first version short enough to follow on a phone. Add a photo where two entrances or a hidden sign could cause confusion.

Walk the route before you write it

Walk from the last clear landmark to the entrance. Note the turning that looks like a driveway, two doors that look alike or a sign hidden behind a hedge. Describe what guests should look for at each point.

  • Confirm the arrival window in the property’s local time.
  • Check whether parking is on the property, in an assigned space or elsewhere.
  • Identify any unloading area separately from the place a vehicle may remain.
  • Decide where guests should look for their private entry arrangements.

A short template to adapt

Replace every bracketed detail with information you have checked. Remove any line that does not apply.

Use separate steps for a complicated approach

  1. Reach the final landmark. Name something guests can recognize, such as a building number or a clearly visible sign.
  2. Find the permitted parking or unloading place. Explain the distinction if guests must move their car after unloading.
  3. Describe the walk to the entrance. Mention a change of level or an alternative route when you have verified it.
  4. Point guests to the agreed private message for entry arrangements. Keep access codes out of the guide.

Photograph the confusing point

A photograph of the correct entrance or parking space can be more helpful than another paragraph. Take it from the direction a guest will approach. Avoid including neighboring homes, people, registration plates or private information when they are not needed. Add a caption that explains what the guest should notice.

Check the wording with a fresh pair of eyes

Ask someone who has not visited to read the directions. Can they tell the entrance from the parking space? Does “left” mean while approaching or while facing away from the door? Name a fixed landmark where possible. Keep booking instructions available if guests cannot open the guide.

A short message to send with your guest guide

Use the current published link and send the message through the channel agreed with your guest. This example is for you to send manually; Welcome Book Builder does not schedule messages or connect to Airbnb. Do not include a guest-specific code in a guide that can be forwarded.

What if there is no parking at the property?

Say that clearly near the top of the arrival section. Separate a possible unloading stop from a place where guests may leave a car. If you recommend a public car park, check its official information and link to current restrictions rather than promising a free space. The guide cannot reserve parking or establish a guest’s right to use it.
