Check-out

Vacation rental checkout instructions and checklist

Write guest-friendly vacation rental checkout instructions with a fill-in template, short departure checklist and tips for keeping printed copies current.

Guests may be packing, finishing breakfast or waiting for a car when they read check-out instructions. Put the departure time first, then give each request its own line so they can work through the list.

Begin with the time

Write the check-out time in the property’s local time zone and keep it consistent with the booking information. If a late departure requires prior agreement, explain the agreed request channel. Do not imply that using a guide changes the booking terms.

An example to adapt

The following lines are examples of writing style, not a list of chores every host should require. Use only requests that apply to your property and were communicated appropriately.

  • Place used towels in [the location you actually provide].
  • Leave used dishes [in the condition you actually ask for].
  • Check drawers and sockets for personal belongings.
  • Return the keys using the arrangements in your arrival or booking message.

Keep the list short

For each item, ask whether it belongs on the guest’s list or the cleaner’s. Remove turnover tasks and repeated reminders. If an action needs explanation, place it beside that item rather than in another section.

Replace vague requests with observable actions

“Leave the kitchen tidy” can mean different things to different people. State the actual action you request, such as where to place used dishes. Avoid guilt, threats or invented penalties. Any charges or contractual obligations belong in the confirmed booking terms, not in a last-minute checklist.

Read it while standing at the door

  1. Open the guest view on a phone and find the check-out section.
  2. Confirm that the time is visible before the task list.
  3. Check that each task is a separate, short action.
  4. Remove any private entry code from key-return wording.
  5. Publish the reviewed change, then replace printed copies if needed.

Leave a clear printed backup

A short printed departure note helps when connectivity is unreliable. Record the date or published version so you know which copy needs replacing. PDFs and printed pages do not receive later edits.

Checkout checklist or cleaning checklist?

A checkout checklist is for the guest’s departure. A turnover checklist is for the person preparing the property for the next stay. Keep the two separate. The guest version should state the time and the few agreed actions that apply; detailed cleaning, restocking and inspection tasks belong in your own operating notes.

How should I explain late checkout?

Tell guests how to ask in advance, using the booking channel you monitor. State that a later departure needs confirmation, rather than implying that sending a message grants it. If the agreed time changes for one booking, confirm that privately instead of changing a reusable guide for every guest.
