Start with the house manual you already maintain. Mark what is current, remove internal notes and group the rest around guest questions: getting in, connecting to Wi-Fi, using equipment and checking out.
Prepare a readable source
Sign in to upload UTF-8 TXT, DOCX or a PDF with selectable text. Browser drafts can review pasted notes and TXT files locally. Imports extract words rather than recreating the original layout or images. Scanned and password-protected PDFs need a readable, unlocked text copy.
Keep your file within 10 MiB and PDFs within 20 pages. Complex documents may still need to be split into smaller parts. If a file cannot be read, copy the relevant text into the paste field and review it there.
Separate guest information from administration
Read the original before uploading. Remove guest identities, booking records, internal business notes and actual access codes. Decide whether exact addresses, phone numbers and Wi-Fi information should be shared. No automated scan can guarantee that free text contains no sensitive information.
Review the extracted paragraphs
The import review shows each extracted paragraph with its source. For a PDF, this includes a page reference when available. Rules can suggest familiar sections from headings such as Wi-Fi or check-out, but a suggestion is only a starting point. You can assign a paragraph elsewhere or leave it out.
Rewrite for the phone screen
Split long instructions into steps, with one action per step. Use a list for separate items. Add a photo when it helps identify a control or place, with a caption explaining what to notice. Use photos of your actual property that you have permission to share.
Check the facts before publishing
- Compare every time and contact detail with your current house records.
- Confirm that the property time zone is correct.
- Open navigation links and check their destination.
- Check which sections and sensitive fields will be visible.
- Read the mobile preview, including any content imported from the end of the document.
Save the draft while you work. When it is ready, the publishing review asks you to confirm the facts and the link’s sharing scope. Publishing creates a separate version for guests. A later import or edit remains a draft until you publish again.
Keep the source and a backup
Keep your original notes somewhere you control. Your online guide is a useful way to distribute current instructions, but a downloaded PDF is a dated copy. If the online service or a guest’s connection is unavailable, your original booking channel and an appropriate backup should still provide the essential arrival information.
Which version of my manual should I use?
- Selectable-text PDF: check that you can select the actual words, then review extraction order, especially around columns and page headers.
- Word document: upload a DOCX file. If your manual is in an older or unsupported format, save a readable supported copy or paste the text.
- Scanned booklet or photograph: prepare a readable text copy first. The importer does not perform OCR.
- Designed welcome book: reuse the text you have permission to use, then rebuild the guide’s sections. Images, fonts and page design do not transfer.
Can I reuse my Airbnb house manual?
You can manually copy your own current house instructions into the draft and organize them into sections. Review them against the property before publishing. Welcome Book Builder does not import a listing URL or synchronize changes with Airbnb, so update the original booking information separately when it changes.
